E-invoice and e-way bill files from an invoice
Under the invoice, the E-invoice and e-way bill part makes the files the government portals accept. You upload them with your own login, then load the reply so the invoice prints the IRN, Ack No. and signed QR code.
Step by step
- Fill City / town and PIN code. For your business and the customer; the portals need them.
- Open E-invoice and e-way bill. Choose Type of supply (B2B, SEZ, export, deemed export) and Your turnover.
- For the e-way bill. Reason for moving the goods, Distance in km, Transport mode, Vehicle number, transporter details, LR number. Tick Also make the e-way bill together with the e-invoice if wanted.
- Download. Download e-invoice file or Download e-way bill file. The maker checks GSTIN, PIN, HSN and rates first and lists anything to fix.
- Upload on the portal. Log in to the e-invoice portal (Bulk upload) or the e-way bill portal yourself and upload the file.
- Bring the reply back. Load the portal's reply file, or type IRN, Ack No., Ack date, Signed QR code text, E-way bill number and dates, then Use these numbers. Save and print.
Worked example
Invoice INV/26-27/045 of ₹1,18,000 to a Haryana buyer, 310 km by road, vehicle PB10AB1234. Download the e-invoice file with the e-way bill ticked, upload it, download the reply and load it: the invoice now prints IRN, Ack No. and the QR code, and the e-way bill number valid for 2 days (200 km per day).
Rules and dates
E-invoice is required when aggregate turnover in any year since 2017-18 crossed ₹5 crore (from 1 August 2023). Businesses with turnover of ₹10 crore or more must report an invoice within 30 days of its date (from 1 April 2025). An e-way bill is needed for goods worth over ₹50,000 moving by vehicle; validity is 1 day per 200 km (normal cargo).
Common mistakes and how to fix them
- Editing the invoice after the IRN. The IRN no longer matches. Cancel on the portal within 24 hours and issue a new one, or issue a credit/debit note.
